The client record, complete on day one.

Onboarding a client properly is the part that gets done twice when the system does not hold it: the identification check, the engagement terms, the documents you need from them. Here it is one checklist per client, on the record.

One record, from first contact onwards

Identification checks with dates

What was checked, when, and by whom — held against the client so the answer exists before anyone asks for it.

Documents collected, not chased

The client is asked for what is missing through the portal, and the record shows what has arrived and what is outstanding.

Engagement terms agreed in writing

The engagement letter is sent for signature, and the signed version is filed against the client and the matter.

What it means for you

Why firms care

  • You can show what you checked. Anti-money-laundering and identification records are on the client file with the date they were made, not in a drawer.
  • Onboarding finishes. Missing documents and unsigned terms are a visible list, so a client is not accidentally taken on half-complete.
  • Referrals and intermediaries are attributed. Where a client came from is recorded, which makes business development a fact rather than a guess.
  • A client belongs to the firm, not to a laptop. When a fee-earner leaves, the client record, the checks and the documents stay with the firm.

Identity verification services vary by country and are confirmed for your firm at the demonstration. Assessing risk and making any statutory report remain the firm’s obligations, as they should.

Joins up with conflicts. Client onboarding sits next to the conflict check: the same record tells you whether you have acted for the other side before you accept the instruction.

The record is created from the enquiry, carrying the contact details, the source and any conflict check already done.

Identification recorded

The check is run and its result, date and reference are recorded against the client.

Terms sent for signature

The engagement letter goes out from a template and comes back signed into the file — before work starts in earnest.

Documents requested

Outstanding items are requested through the portal, and the record shows what is still missing and who is waiting on it.
