Correspondence with a client is filed against their matter, so a file can be read as a sequence rather than reassembled from inboxes.

Client messages in one thread

Messages sent from the client portal appear with the matter, and the client sees the same thread — no “did you get my email?”

Attendance notes that stay put

Contemporaneous notes are recorded against the matter, dated, and visible to those entitled to see the file.

  • Handover works. A colleague covering a matter can read what has passed between firm and client without asking anyone.
  • “We never received that” is checkable. What was sent, when, and by whom is on the record — which matters when a complaint or a costs assessment arrives later.
  • Advice stays with the matter. Internal notes about a file remain internal, and cannot be forwarded to a client by accident.
  • An assistant can find the thread. Documents, emails and messages are in one place, so assembling a bundle for counsel stops being archaeology.

Capturing email depends on your firm’s mail arrangement being connected during setup; the portal and internal channels work without it.
